Track money owed to consignors and reconcile it to the bank
For auction companies holding money owed to consignors: reconcile the records that explain what came in, what went out, and what is still owed. SaleLedger brings the three sides of the reconciliation into one local Windows workflow.
Try SaleLedgerThree records, one explanation
Compare auction transactions, adjusted trust bank activity, and the amount still owed to consignors. Bank cash alone cannot tell you which consignor owns the balance. A settlement report alone cannot prove that a payment cleared the bank.
Example: a payment recorded but not cleared
Suppose a consignor ledger records a $2,400 payment on the last day of the month, while the bank statement shows no cleared payment yet. Keep the payment reference and date, then establish whether it is an outstanding payment or a recording error. Do not create a second payment merely to make two reports look alike. This is an illustrative review scenario, not a real customer result.
Review the exception, then preserve the evidence
SaleLedger flags discrepancies for review. Compare the exception with the settlement, bank activity, and accounting export; document the supported correction or timing difference. Keep the report and supporting records together so another reviewer can follow the explanation.
Fit it into the auction office workflow
Collect supported auction and accounting exports plus the bank statement for the same period. Keep identifying references intact. Review each open item with the person responsible for settlements, then retain the reproducible reconciliation output. SaleLedger supports this review; it does not run auctions or replace your general ledger.

| Record | Amount | Review result |
|---|---|---|
| Consignor payment entered | USD 2,400 | Recorded on the final day of the month |
| Cleared bank payment | Not yet present | Confirm payment reference and clearing date |
| Reconciliation treatment | Pending review | Record a supported timing difference; do not pay twice |
Questions before you start
Does a matching bank balance prove consignor balances are correct?
No. You still need to establish which amounts are owed to which consignors and reconcile those liabilities with the transaction records.
Does SaleLedger automatically resolve discrepancies?
No. It flags items for review. Your team determines the supported explanation or correction.
Can I use Auction Flex records?
The export guide describes supported Auction Flex and QuickBooks/IIF inputs. Check the required files before starting; this is an export-based workflow.

Try SaleLedgerBuild a reviewable consignor balance
Keep each consignor's opening liability, settlement entitlement, supported adjustments and payments together. For a fictional consignor, $5,000 opening liability plus $12,000 from settlements less $10,000 in recorded payments leaves $7,000 owed. The bank clearing date is a separate check; a payment recorded in the ledger must not be subtracted twice.
Compare the total remaining liabilities with trust control and adjusted bank balances. If totals differ, inspect the exceptions and the source rows before changing a settlement.
